Checks

Checks should be payable to Brown University in US dollars, as differences in exchange rates and bank collection charges will be charged to the account credited.

University audit controls require that all funds received be deposited daily. Therefore, post-dated checks will not be accepted and will be returned to the sender.

Third party checks will not be accepted with the exception of checks from banks, trusts and investment companies purposely set up to fund a student's education.


Returned Checks

Any payment made, even if on a timely basis, that results in the check being returned for insufficient funds, lack of authorizing signature, etc. will result in the reversal of the payment and a $20 returned check charge. In addition, a returned check for a student account payment may result in a late payment charge if no other form of payment is received prior to the payment due date. The bank automatically deposits all returned checks a second time before returning the checks to Brown.


Canadian Checks

Checks drawn on a Canadian bank are handled differently than those drawn on a domestic bank. Checks drawn on Canadian banks are initially credited to the account for the legal amount of Canadian dollars. The Canadian check will be deposited in the banking system and we will wait for bank notification of the foreign exchange amount. Within ten days, the account will be adjusted to reflect the amount of the check converted to US dollars.


Other Foreign Checks

Checks drawn on a foreign bank are handled differently than those drawn on a domestic bank. Due to volatile financial markets, Brown must submit international checks through the banking system for collection directly to the bank on which the check is drawn. Until the collection process is complete and the University has been notified of the US dollar equivalent for the check, an account cannot be credited for the check. The collection process is inefficient (can take as long as six weeks depending on the location of the bank) and costly (fees are charged by all the banks handling the check and are deducted from the final amount credited) and should be avoided if possible. If a check drawn on a foreign bank must be used, please send it in ample time to allow for the collection process in order to prevent the assessment of a late payment charge.


Checks for Student Scholarship or Student Loan

Scholarships and loans from outside funding sources should be forwarded to the Cashier's Office for credit directly to the student account. Please be certain the student's name and account number are indicated for proper and timely credit. In many instances, checks are payable jointly to a student and Brown University, and therefore require the student's endorsement. If the student receives the check, it should be endorsed and sent to the Cashier's Office. If the Cashier's Office receives the check, the student will be contacted via e-mail and campus mail requresting they visit the Cashier's Office to endorse the check. The scholarship/loan will be credited to the student account and the student will be given a receipt for his/her personal records indicating the source of the scholarship.
