Service & Toner Orders

  1. To place a service call, Brown University end users have two options:

    1. Call NECS at 1-800-321-NECS (6327). At the voice prompt greeting, please hit ext. 1-7591 which will put you directly in touch with an NECS service dispatcher, who will ask you for the ID number of the machine (small blue & silver NECS tag on the front of your copier) which will be the five digit number printed on the tag. This is how NECS tracks the machine, its model type and location. Please describe the issue to the dispatcher who will then notify one of the NECS on site/on campus technicians responsible for supporting Brown University. You should receive a follow up call from the technician within an hour of your call and he will notify you of his estimated time of arrival to your department. Also, the five digit ID number will always allow you to place a follow up call if need be to find out the updated status of your service call (this is your “tracking number”).
    2. Log on to NECS website at WWW.NECS.BIZ. – At the NECS home page you will see an option towards the lower left side of the page called “Request Service from NECS”. If you click this link, a new page will open allowing you to place a service call electronically. Just as in the process described above, you will be required to enter the five digit machine ID number which is printed on the tag located on the front of your machine. You will be required to enter information into each field – Status / Description of Problem / Your Name / Phone Number / Comments – and then hit submit. You may ignore the field requiring a PO Number as this is applicable to accounts who may not have a service contract with NECS. Once you hit submit, a confirmation page will appear letting you know that NECS has received your service request. At this point, as described above you should receive a follow up call from the technician within an hour of your call.
  2. To order Toner and Supplies, Brown University also has two options available.

    1. Call NECS at 1-800-321-NECS (6327). At the voice prompt greeting, please hit ext. 1-7353 which will put you directly in touch with your Supplies Manager, Judy Souza. Please advise Judy that you are calling from Brown University and provide her with the ID number of the machine (small blue & silver NECS tag on the front of your copier) which will be the five digit number printed on the tag. Judy will know exactly which type of toner you require and as long as the call is placed by 2:00 PM, your toner will ship the same day via UPS. Please make sure you always have at least one spare toner on hand. Also please advise Judy of the appropriate shipping address as she will confirm the address on record for your machine. You also may just hit zero when calling and ask the receptionist to connect you to the supplies department.
    2. Log on to NECS website at WWW.NECS.BIZ. At the NECS home page you will see a highlighted area on the right side of the page called “Featured Services” with three links you could click. The third link is titled “Copier/Printer Supplies – All Manufacturers”, please click this link which will then bring you to another page called Maintenance and Management Services. In the middle of the page, you will see a highlighted link called “Contact NECS Supplies”. Please click this link which will enable you to send an email request directly to the Supplies Department, please include the same information as outlined above – machine ID Number, name and address verification. Judy or someone in her department will reply to your email request with a confirmation of your order.

There is no additional charge for toner. Be sure to keep an extra toner cartridge on hand. Be aware of unsolicited toner sales calls, toner is supplied in your contract.
