Brown email address using preferred first name or alias
When they enroll at Brown, every student is assigned an email address that is in the format firstname_lastname-AT-brown.edu (there are some variations created when two or more people at Brown have the same firstname and lastname). Students should record any legal name change with the Office of the Registrar.
Changing the first name in your Brown email address
As a transgender student, you may request that the firstname in your email address be changed to a preferred firstname without a legal name change. This replaces your assigned Brown email with a new one. For example, you might request that “Josiah_Carberry-AT-brown.edu” be replaced with “Alix_Carberry-AT-brown.edu.” Endorsements of email change requests come through the Office of Student Life.
HOW: There will in the future be an electronic form to make it easier for you to request a change in email address; for the moment, please email us at OSL@brown.edu with your request, including your preferred firstname and email address, your current email address and class year. We will contact you about your request and to verify your desired email address; once we send a notice of endorsement to Computing Accounts, they will make the change in address and will notify you (and us) by email when the change is complete.
Keep in mind you are also welcome to meet in person with a dean in the Office of Student Life or with the director of the LGBTQ Center to discuss your options, preferences, etc.
EMAIL ONLY: The change to preferred firstname is for Brown email and Brown’s electronic directory only. Currently we are not able to provide a preferred firstname that pushes out through all of the various computing and information management systems in the University. Schools that have a single system have an easier task to present a preferred first name at all points where a student interacts with the system.
At this time, class lists and information available to faculty and staff on-line will continue to show legal firstname rather than preferred. Retaining your Brown email address – requesting an “alias” or alternate address
A transgender student may wish to retain their assigned Brown email address while requesting an alternate address. Having an alternate address retains your assigned Brown email, but allows you to give the alternate address as your email address for people to communicate with you. For example, you might request Washington-AT-brown.edu as an alternate for Madison_Washington-AT-brown.edu. If the alternate you wish is a variant of your legal name, you may request an alternate address by managing the email settings for your Brown account at http://brown.edu/cis/myaccount/.
If you wish to request an alternate address that is significantly different from your legal name, endorsement of the request will need to come through the Office of Student Life. Changing your email settings
You might also take the option of just changing how your Brown email shows up in people’s InBoxes. Your email will remain firstname.lastname@example.org but your name in the From section of someone’s InBox will appear as Preferred Name. You need to know that your email messages will still display your assigned Brown email address (i.e., legalname-AT-brown.edu) in the header information. To change how your email appears, go into your Brown Gmail, go to Settings then to the Accounts tab, and Edit Info on your primary email address; create and select a new name for your email to appear as “from.”
