For New Hires

Welcome to Brown!

To get new employees off to a good start and ensure a smooth transition into the Brown community, the Office of Human Resources request that they complete the following steps:

The First Day on the Job

1. New staff members will need to complete the following forms in Human Resources: (3rd floor, Brown Office Bldg.)*

  • Form I-9 - This form verifies the legal right to work in the U. S. and must be completed within three business days of the date work is started. Completing the form is required as a condition of employment. New employees must bring the appropriate documents as indicated on page two of the Form I-9.
  • Personal Data Form - This form provides Brown with the personal information required for entry in the Human Resources System database.
  • Notice of 403(b) Retirement Plan Eligibility

2. New staff members should receive and sign for the following in Human Resources*:

3. New employees can complete the following forms from the Payroll Office: (2nd floor, Brown Office Bldg.)

4. New employees should tour their departments and the campus with their supervisors. [Campus Map] [Virtual Tour]

5. New employees can activate voice mail accounts by calling Telecommunications at x3-2007.

*Faculty should complete the appropriate forms at the Faculty Personnel Office, located on the 4th floor of University Hall, extension 3-2312 or 3-3270. Medical School employees should do so at the Biomed Human Resources Office located in room 112 of the Arnold Lab at 97 Waterman Street, extension 3-1039.

The First Week on the Job

  1. New staff members should attend New Employee Orientation and a Benefits Orientation . The date, time and location of orientation sessions can be found in staff hire letters. Medical School employees should also attend the Biomed New Employee Orientation.
  2. New employees should visit the Brown Card Office in J. Walter Wilson to obtain a Brown ID. [Brown Card Office].
  3. New employees can activate their email accounts once they have a Brown ID. To do so, visit the Account Activation web page.
  4. New employees and their supervisors should connect with their department's IT Support Consultant to ensure systems and software are set up accurately. [CIS]
  5. New employees should review and clarify departmental and Human Resources policies and any additional office policies and procedures with their supervisor.
  6. New employees and supervisors should review goals and performance expectations
  7. New employees should ensure all Human Resources paperwork is complete.
  8. Brown encourages all employees to know their FLSA rights and responsibilities by reviewing the FLSA Guidebook.
  9. Any new employee who will be a student supervisor should read and become familiar with the Student Employer Handbook.

Within the First Month of Employment

  1. New employees and their supervisors should revisit goals and progress in job training.
  2. All new employees are encouraged to visit training.brown.edu to explore professional development opportunities that will help in meeting professional and personal goals.
  3. New employees can refer to Brown's Benefits Enrollment Decision Guide when exploring benefits choices, and must complete and submit the Benefits Enrollment Form within 31 days of the first day work.

After Six Months of Employment

  1. Brown encourages all employees to consider applying for tuition reimbursement for college courses taken through the Employee Education Program and to continue exploring professional development opportunities through the Human Resources website.
