Assigned Workday Security Roles

The Workday system requires a number of security roles to initiate and approve business processes such as hiring a new staff member, changing compensation, changing a title, requesting a promotion or job audit and approving time off. These roles have access to view human resources and payroll information (including compensation), manage employee data and report on staffing information, regardless of employee type (i.e. staff, faculty and students), within an assigned organization.

Every supervisory organization within Brown’s Workday system must have assigned security roles to ensure that business processes are carried out and to support the department’s workflow. In many cases, individuals will be assigned more than one security role based on the business needs of the department. These security roles "live" on a position; if that position is vacated, the security role does not move with the departing individual and can be reassigned temporarily until the position is refilled.

Workday managers and department heads are dynamically or automatically generated by the system. These individuals can view all business related information as it relates to their direct reports. Additionally, Workday managers and department heads can perform tasks on their direct reports.

Role Assignment and Training

Human Resources preliminarily assigned security roles to staff based on their current, primary job responsibilities and with input from HR Business Partners. These roles were confirmed with department heads prior to communicating role assignments to individuals.

Training for those with assigned Workday roles will vary based on the role. The most extensive instructor led training will be provided to HR Coordinators. Roles such as Timekeeper, Absence Partner and Cost Center Manager may involve varying methods of training including online training and printed material.
